Office Moving Preparation: Items, Access and Placement

Start your office moving preparation by listing what is moving, checking access at both spaces and deciding where each piece should go. A delivery address tells the mover which building to reach; the room and floor tell them where you want the furniture placed.

01

List Office Furniture and Equipment That Is Moving

Make a list of the desks, chairs, tables, cabinets and equipment you want moved. Include a count for each kind of item, photos, and dimensions or weight when you know them. A photo of one desk does not show how many desks are going.

Keep separate lists for items moving to the next space, items staying behind and unwanted pieces you want picked up for disposal. Share photos or a walkthrough video that makes those groups clear.

02

Check Access at Both Office Spaces

Write down both addresses, the starting and ending rooms or floors, stairs or elevator details, and your preferred date. For a move within one building, describe the route between the two spaces. Show the way out of the current office and the way into the destination.

Ask each building contact about its moving arrangements, including elevator use, access times and where a vehicle may stop. Pass along the instructions you receive. If you have not checked the destination yet, tell the mover what is still unknown.

Heavy Friends Movers serves a confirmed 30-mile area from its Alexandria base, including parts of Virginia, Washington, DC, and Maryland. Share the exact pickup and destination addresses so we can confirm coverage for your move.

03

Identify Furniture Tasks to Review

Note which pieces need wrapping, disassembly or reassembly, and any items that need to be carried on stairs. Heavy Friends Movers can wrap and protect furniture, take it apart and put it back together, carry it on stairs, load and unload it, and place it where you want.

Include the tasks you need in your request and check which ones the written quote covers. For example, if a desk needs to come apart to leave the old office, say whether you also want it put back together at the destination. List any disposal pickup separately from the items being moved.

04

Decide Where Each Office Piece Should Be Placed

Give each piece a destination room and floor before the move. A simple list can work: two desks to the second-floor office, six chairs to the meeting room, and a cabinet to the ground-floor storage room.

Share that placement plan with the mover, along with access to those rooms. Reaching the building entrance and carrying a cabinet to another floor are different parts of the work. If you change the final room or floor, tell the mover so the request stays clear.

05

Check Your Request Against the Work on Moving Day

Before work starts, compare your list with the furniture and equipment actually going. Point out anything staying behind or being picked up for disposal. Review both access routes, building instructions, furniture tasks and final placement.

Tell the mover about added items, a different room or floor, changed elevator access or extra tasks. Heavy Friends gives one written price for the work reviewed. If that work stays the same, the price stays the same; changes to the work may change the quote.

When your list is ready, send the items, both locations, access details, preferred date and requested tasks for a free quote. Heavy Friends sends your written moving quote within three hours after receiving the information needed to price the move.
